A lapsed paper doesn’t just cost a fine. It parks a truck — and everything the truck was carrying.
Fleet compliance management

Every vehicle. Every driver. Every paper. One board.

Vehicle licences, roadworthiness, insurance and drivers’ licences — multiplied across a fleet, scattered across expiry dates, and enforced at checkpoints your trucks meet daily. The fleet board watches all of it, reminds drivers and managers before anything lapses, batches renewals monthly, and coordinates the parts a payment can’t fix — inspections and record corrections included.

Part A Why fleet compliance is different

For a fleet, paperwork isn’t admin. It’s uptime.

A private car with lapsed papers risks a fine. A commercial vehicle with lapsed papers risks the load, the route, the customer and the day’s revenue — multiplied by however many vehicles you run.

Checkpoints don’t negotiate

One expired paper stops a truck mid-route — with the delivery, the driver and the customer attached.

Dates multiply, spreadsheets rot

Twelve vehicles × four documents × different cycles is a calendar no spreadsheet survives contact with.

Drivers’ licences are personal

The company can’t renew what it doesn’t own — driver documents need the driver in the loop, properly.

Some fixes aren’t payments

Roadworthiness needs the vehicle at a centre; record errors need casework. A payment portal can’t drive a truck.

Part B What the board does

From plate number to monthly report — eight jobs, handled.

The board, reminders and imports are free. You pay per renewal, per vehicle, at the same itemised rates as a single car — just batched.

FL-01

One dashboard per vehicle

Every vehicle’s full paper file — licence, roadworthiness, insurance, ownership — on its own card, rolled up into the fleet view.

FL-02

Licence, roadworthiness & insurance monitoring

Every certificate’s expiry tracked per vehicle, colour-coded by urgency across the whole fleet.

FL-03

Driver’s-licence monitoring

Drivers link their own licences with consent, get their own reminders, and managers see status and expiry — not personal documents.

FL-04

Inspection scheduling

Roadworthiness inspections booked and batched by depot and route — several vehicles, one centre, one morning.

FL-05

Accident-document vault

Per-incident files: police reports, photos, insurance claims and correspondence — organised while it happens, findable years later.

FL-06

Automatic reminders — drivers & managers

The driver gets theirs, the fleet manager gets the overview, and escalations fire when something’s ignored.

FL-07

Bulk renewal & monthly reports

One monthly approval covers everything due; one report shows management the fleet’s standing and itemised spend.

FL-08

API & CSV import

Onboard by spreadsheet in minutes, or connect your fleet or HR system by API so the board stays in sync as vehicles and drivers change.

Part C Managed coordination

Some renewals are payments. Some are events.

A vehicle licence renews with money. Roadworthiness renews with a vehicle physically at an inspection centre — and a record error renews with nothing until someone fixes the record. This is why a payment interface isn’t fleet compliance, and coordination is.

  1. Inspections batched by depot: several vehicles, one centre, one scheduled window — routes lose hours, not days
  2. Where a jurisdiction permits representatives, we attend; where it requires your driver, everything’s prepared before they arrive
  3. Record errors — chassis mismatches, ownership inconsistencies — routed straight to a caseworker instead of blocking a renewal silently
  4. Stopped or impounded vehicles get Resolution Desk priority: diagnose the actual defect, fix it through official channels, get the vehicle moving
  5. Every event lands back on the board, so the monthly report reflects reality — not just receipts

Part D Getting started

From spreadsheet to standing board in a week.

Step 01 · Free

Import the fleet

Upload a CSV of plates and drivers — or connect by API. The board builds itself and flags what’s already expired or unknown.

Step 02 · Free

Drivers link in

Each driver consents and connects their licence in minutes; reminders switch on for vehicles and people alike.

Step 03

Approve the monthly batch

Everything due that month in one itemised approval — official fees separated from handling, per vehicle, as always.

Step 04

Run on the report

Renewals processed, inspections coordinated, documents filed to each vehicle — and a monthly compliance report management can actually read.

Part E Common questions

Asked by every fleet manager with a spreadsheet open.

How do drivers’ personal licences work — can the company just renew them?
No, and it shouldn’t want to: a driver’s licence is the driver’s personal document, and biometric steps are theirs alone. Instead, each driver links their licence with consent and receives their own reminders and renewal flow; the company sees status and expiry dates — enough to plan routes — not the underlying personal documents. Renewal costs can be borne by either side; the board handles both arrangements.
Do you physically take our vehicles to inspection?
We coordinate the event: the centre chosen, the slots booked, the batch sequenced by depot, the paperwork complete before arrival — and where the jurisdiction permits a representative to present the vehicle, ours can. Where the rules require your driver, they arrive to a prepared file and a booked slot, which turns a lost day into a lost hour. Which mode applies depends on the state and centre; the board tells you per booking.
A vehicle has been stopped or impounded over papers. Can you help right now?
Yes — that’s a rescue, not a renewal, and it routes to the Resolution Desk with fleet priority: diagnose which document or record actually caused the stop, fix it through official channels, and document everything for your file. What we won’t do is pay anyone off at a checkpoint — and a fleet whose papers are genuinely current is the strongest position a driver can stand in.
What’s in the monthly compliance report?
The fleet’s standing at month end: per-vehicle status, renewals completed with itemised official fees and handling, upcoming expiries for the next 60 days, inspection outcomes, open cases, and driver-licence status summary. It’s designed to forward — to an MD, an auditor, a lessor or an insurer — without editing.
Our vehicles are leased or financed. Does that change anything?
Only for the better: lessors and financiers usually require proof of current papers and insurance, and the monthly report satisfies exactly that — shareable with them directly via a read-only link, the same way the Vendor Pack shares with procurement. Ownership-record subtleties on financed vehicles are the kind of thing the caseworker route exists for.
How does the API import work, and what does the board cost?
CSV gets you live in minutes; the API keeps larger fleets in sync with your existing fleet or HR system as vehicles and drivers join and leave — documentation is available on request. The board, imports, reminders and monthly report are free at any fleet size. You pay per renewal per vehicle at the same itemised rates as an individual owner; batching changes the convenience, not the pricing model.
