Every tender asks for the same ten documents. Assemble them once — and never scramble at a deadline again.
Tender & vendor-registration packs

Assemble your vendor file once. Submit it forever.

Banks, government tenders and big customers all demand the same stack: CAC documents, TCC, PENCOM, ITF, NSITF, contractor registrations, accounts, insurance, director ID. Most companies rebuild that stack in the 72 panicked hours before every deadline — and discover the expired certificate at submission. Your Vendor Pack is the living version: each document kept current, and shared with any procurement team through one secure link.

Part A The resubmission tax

You’re not losing bids on capability. You’re losing them on paperwork logistics.

The documents are the same every time. The scramble is the same every time. And the cost isn’t just the hours — it’s the bids skipped because the pack “wasn’t ready.”

Rebuilt per bid

The same ten documents hunted across email, drives and drawers — every single tender.

Expiry at the deadline

The lapsed ITF or PENCOM certificate discovered 48 hours before close — when renewal can’t land in time.

Version drift

Three “final” folders, two TCC scans, one wrong year submitted — and a disqualification for it.

The bids you skip

The quiet cost: opportunities passed over because assembling the file felt bigger than the bid.

Part B The pack manifest

Ten documents. Verified in, kept current, always findable.

Each item is verified when it enters the pack, carries its renewal cadence, and rides the same reminder system as everything else in your wallet. Items marked ↻ renew on a cycle — those are the ones that break packs.

A Standing & identity

  • CAC documents Certificate, status report, current filings — health-checked on the way in
  • Tax Clearance Certificate (TCC) ↻ Annual — renewed before it can lapse mid-bid
  • Audited accounts ↻ Annual — prepared by your auditor; we chase, file and version them
  • Director identification IDs consistency-checked against CAC and NIN records
  • Bank & reference documents Reference letters and statements coordinated with your bank, current copies filed

B Statutory compliance

  • PENCOM compliance certificate ↻ Annual — pension compliance, demanded in public procurement
  • ITF compliance certificate ↻ Annual — training-fund compliance
  • NSITF compliance certificate ↻ Annual — employee-compensation compliance
  • BPP / contractor registrations ↻ Per portal — federal and state contractor registrations kept live
  • Insurance documents ↻ Annual — policies and certificates current for contract warranties
Part C How it stays current

A pack is only as strong as its next expiry.

Seven of the ten items renew on a cycle — which is why static folders rot. Every dated item in your pack sits on the reminder system, and each renewal is one approval away.

Once

Build & verify

We assemble the pack from what exists, verify each document, and flag the gaps — with a quote to fill each one.

Continuously · Free

Watch & remind

Every expiry tracked, reminders ahead of each cycle — timed against your bid seasons, not just the certificate dates.

Per renewal

Renew & replace

You approve the itemised fee; we process the renewal and the new document slots into the pack — every live share link updates itself.

Part D The share link

Procurement teams get a clean room. Not a 40MB zip.

One link opens your pack as an indexed, always-current document room — the version they see is the version that’s true today. For portals that demand uploads, the same pack exports as a numbered, dated PDF bundle in one click.

  1. Per-recipient links — one for the tender, one for the bank, never shared credentials
  2. Read-only, watermarked per recipient, with every view logged
  3. Expiry dates on each link — and instant revocation when the bid closes
  4. Live links always show current documents; renewed certificates replace old ones automatically
  5. Encrypted and NDPR-handled, like everything in your vault

Part E Common questions

Asked before every bid season.

Will procurement teams and portals actually accept this?
Both forms exist because both realities exist. Where a procurement team can receive a link, they get the indexed live room — which teams tend to prefer over inbox archaeology. Where a portal or tender insists on uploads or hard copies, the pack exports as a numbered, dated PDF bundle assembled in one click, so “their format” costs you a minute instead of a weekend. Either way, the source of truth is the same current pack.
Do you prepare our audited accounts or bank references?
No — audited accounts come from your auditor and references from your bank, and no one else should be producing either. Our role is the logistics both of them will appreciate: chasing the audit against your filing and bid calendar, versioning the signed accounts into the pack, coordinating reference letter requests with your bank, and making sure the copy in front of procurement is always the current one.
What are PENCOM, ITF and NSITF certificates, and do we really need all three?
They’re annual evidence of statutory compliance — pension remittances, training-fund contributions and employee-compensation coverage respectively — and public procurement routinely demands all three, with private counterparties increasingly following. If you have staff, you likely need them. If yours have lapsed or never existed, that’s a finding, not a crisis: the compliance health check grades where you stand and the remediation quote prices the way in.
A tender is asking for documents beyond the standard ten. Can the pack handle it?
Yes — the ten are the base that every request draws on, not a ceiling. Per-tender extras (specific affidavits, project references, equipment lists, sworn declarations) are added to a tender-specific section of your pack, and because the base already exists, assembling the delta typically takes days, not the usual scramble. The extras stay filed afterwards, so the next similar tender starts even further ahead.
How secure is the share link, really?
Each link is unique to its recipient, read-only, watermarked with the recipient’s name, time-limited, and revocable by you instantly — and every view is logged where you can see it. Documents remain encrypted in the vault; a closed link shows nothing. It’s designed so you can hand access to a stranger’s procurement team with less exposure than one email attachment creates.
What does it cost?
Storage, reminders and share links are free — they’re your wallet working. You pay for work: a one-time pack build-and-verify fee quoted after the free scan of what you already hold, and then each renewal or procurement of a document at our normal per-service rates, official fees itemised separately as always. No subscription; a dormant pack between bid seasons costs you nothing.
Part F Get tender-ready

The next tender closes in weeks. Your pack should already exist.

Start with a free scan of the documents you hold — we’ll show you the pack’s current state and quote only the gaps.
